Your first review round
Set the default rule, let ExpiryPoint date every document, then work through what is due.
Set the default rule
Open Rules (site owners). The default rule catches every file no other rule matches. Choose its interval, for example 12 months, and a default reviewer, or leave the reviewer empty: ExpiryPoint then uses the last editor, then the author, then the site owners.
Check the dates
The Dashboard now shows every file with its next review date: the last review plus the interval or, for a file never reviewed, its last modified date plus the interval.
On a site with years of history, expect a lot to be overdue on day one. That is normal. Start with the library that matters most, such as Policies, and work forward.
Work through the deck
- Open My reviews. Each card shows the file, where it lives, its owner, when it was last reviewed and last modified, and why it is due.
- Open the file in SharePoint if you need to check it.
- Decide: Still current (swipe right or press C), Request update (swipe up or press U) or Mark for retirement (swipe left or press R). Buttons work too.
- Made a mistake? Choose Undo. The undo is logged as well.
Tips
- Reviewing never changes a document, so a file marked Still current keeps its Modified date and version history.
- If a file belongs to someone else, pass it on with Not mine.
- Short, regular rounds work better than one big clear-out, and reminders keep them coming.
