How it works

Date every document, remind the right person, decide in a second.

ExpiryPoint is a web part, and a Teams personal app. It runs in the browser of the person using it, with their own SharePoint permissions. There is nothing else to install and no server of ours in the way.

1

Add

Uploaded once, added to any page.

A SharePoint administrator uploads ExpiryPoint to your organisation's app catalog once. From then on, a site owner can add it to a page, and people can open it in Teams as a personal app.

  • No admin consent needed; one optional permission (Mail.Send) switches on email
  • Works on any modern SharePoint Online page, and in Teams
  • Without a licence, a free snapshot of how old the site's documents are
The free snapshot without a licence: of 412 documents, 38% were last modified in the past 6 months, 21% 6 to 12 months ago, 19% 1 to 2 years ago and 22% over 2 years ago.
2

Date

Rules give every document a review date and a reviewer.

Rules match by library, content type, a metadata column or a sensitivity label, in order, with a default rule for everything else. Each sets the interval and who reviews. The next date is the last review plus the interval or, for a file never reviewed, its last modified date plus the interval.

  • 30 days, 90 days, 6 months, 12 months or custom
  • An owner, a reviewer and a backup for every file
  • Up to three approval stages where a rule needs them
The Rules tab: ordered rules for HR policies (12 months, two approval stages), contracts (6 months, one stage), confidential files (90 days) and a default rule (12 months).
3

Remind and review

Reminders go out; reviewers decide in the deck.

Reminders go by email from the sender's own mailbox before and after each review date, once your administrator approves the optional Mail.Send permission, and reviewers can open My reviews in Teams. Each decision takes a second, and none of them changes the document.

Still current CThe file is still right. Its next review moves on by the rule's interval, or to a date the reviewer picks for this one file.

Request update UThe file needs changes. Its owner is asked to update it, and the request waits on the dashboard under pending actions.

Mark for retirement RThe file has had its day. It is marked for retirement; moving, labelling or recycling it is a separate step, only if a site owner has switched that on.

Report

Every decision logged, every review counted.

The dashboard shows what is overdue, due soon, waiting on someone and done. Reports show the completion rate, a 12-month trend and results by department, library and owner, with the decision log behind them, ready to export.

  • Who, when (UTC), the decision, the comment and both dates
  • Excel (.xlsx) and CSV export, made in your browser
  • Helps evidence periodic review, such as ISO 27001 Annex A 5.1

Who does what

Owners decide. Everyone else sees what they already can.

Every read and every action runs with the signed-in person's own SharePoint permissions.

  • Reviewers see their files in My reviews, in SharePoint or Teams, and decide. Backup reviewers see files that run late.
  • Approvers approve or reject decisions for the rules that name them, in up to three stages.
  • Site owners set rules, reminders, libraries and sites, reassign files and enter the licence key.
  • Your SharePoint administrator uploads the package to the app catalog once, and makes it available in Teams.
