Features

Ten features, one job: keep every document current.

Scheduling, reminders, a fast review deck, approvals, an audit trail and reports, all inside SharePoint and Teams, with every level including every feature.

Automated review scheduling

Review every 30 days, 90 days, 6 months, 12 months or on a custom interval, set per rule. ExpiryPoint works out every next date.

Central review dashboard

Overdue, due soon, pending actions and completed reviews in one place, with search, filters and sortable columns.

Reminders by email and in Teams

Reminders before and after each review date by email from your own mailbox, a Teams personal app, and a Power Automate recipe for scheduled reminders and Teams messages.

One-click review actions

Still current, Request update or Mark for retirement, by swipe, key or button, with undo. Reviewing never changes the document.

Owners, reviewers and backups

Every file has an owner, a reviewer and a backup reviewer, with sensible defaults and reassignment in a click.

Complete audit trail

Every action logged with who, when, the decision, the comment and the dates before and after. Export to Excel or CSV.

Rules for every kind of document

Ordered rules by library, content type, metadata column and sensitivity label. Each sets the interval, reviewer, backup and approvals.

Review and approval stages

One to three approval stages per rule, each with a named approver. A rejection goes back to the reviewer with the comment.

Compliance reports and analytics

Completion rate, overdue now, a 12-month trend and results by department, library and owner. Export to Excel or CSV.

Multi-site and multi-library

Every library on a site, or a chosen set, and other sites combined into one dashboard, always within each person's own permissions.

Feature 1 of 10

Automated review scheduling

Each rule sets how often its documents are reviewed: 30 days, 90 days, 6 months, 12 months, or any number of days or months. The next review date is the last review plus the interval or, for a file never reviewed, its last modified date plus the interval. A reviewer who marks a file Still current can set a different next date for that one file.

  • Presets for 30 and 90 days, 6 and 12 months
  • Custom intervals in days or months
  • Never reviewed? The clock starts from the last modified date

Feature 2 of 10

Central review dashboard

The Dashboard tab shows every file in scope by where it stands: overdue, due soon, pending actions (update requested, awaiting approval, marked for retirement) and completed reviews. Search by name, filter by status, site, library, owner, rule or category, and sort any column.

  • Overdue files stand out; everything else stays calm
  • Filters for status, site, library, owner, rule and category
  • Open any file in SharePoint straight from the list
The ExpiryPoint dashboard on a made-up Contoso HR site: 7 overdue, 18 due in the next 30 days, 4 pending actions and 63 reviewed this quarter, with filters and a list of files by review date and status.

Feature 3 of 10

Reminders by email and in Teams

Each site chooses its reminder days, for example 14, 7 and 1 days before the review date, then every 7 days while it is overdue, with one digest per reviewer. Email is sent through Microsoft Graph from the signed-in person's own mailbox, once a SharePoint administrator approves ExpiryPoint's single optional permission (Mail.Send, delegated); nothing is sent through Apps 365. A site owner can choose Send reminders now, or let ExpiryPoint send them once a day when an owner opens the dashboard, and nobody is reminded twice for the same step. Without that approval, ExpiryPoint opens a pre-filled email to send yourself. ExpiryPoint also runs as a Teams personal app and tab, and reminders on a fixed schedule and Teams messages run through your own Power Automate flow over the review register.

  • Reminder days you choose, per site
  • Email from your own mailbox, never through Apps 365
  • A Teams personal app, plus a Power Automate recipe

Feature 4 of 10

One-click review actions

Reviewers work through their files in a review deck: swipe right or press C for Still current, swipe up or press U to Request update, swipe left or press R to Mark for retirement, or use the buttons. Undo is one click away. None of these changes the document: the decision is kept in ExpiryPoint's own hidden lists, so the file's Modified date and version history stay as they were. Moving, labelling or recycling a retired file is a separate, optional step that a site owner switches on and an approver or owner carries out.

  • Swipe, keyboard (C, U, R) or buttons
  • Undo, and the undo is logged
  • Modified dates and version history untouched
The review deck in My reviews on a made-up Contoso HR site: the top card is Annual leave policy.docx, overdue by 13 days, owned by Priya Shah, last modified 3 February 2025. Three buttons: Mark for retirement (R), Request update (U) and Still current (C).

Feature 5 of 10

Owners, reviewers and backups

Each file has an owner, a reviewer and a backup reviewer. Defaults come from the matching rule, then the last editor, then the author, then the site owners. My reviews shows each person what is theirs, and backup reviewers see files that are overdue past the escalation days. Owners reassign one file or many from the dashboard, and a reviewer can pass a file on with Not mine.

  • Defaults from the rule, the last editor, the author or the site owners
  • Backups step in when reviews run late
  • Not mine passes a file on

Feature 6 of 10

Complete audit trail

The decision log keeps every action: who, when (in UTC), the decision, the comment, the previous and new review dates, approvals and rejections, reassignments and reminders. Undo is logged too, so the trail is never rewritten. Export it to Excel (.xlsx) or CSV for an auditor, a records manager or your own reports.

  • Who, when, what and why for every decision
  • Approvals, rejections, reassignments and reminders
  • Excel (.xlsx) and CSV export
The decision log: who decided what and when, in UTC, with the review dates before and after, approvals, reminders and a retirement.

Feature 7 of 10

Rules for every kind of document

Rules are checked in order and the first match wins; a default rule catches everything else. A rule can match a library, a content type, a value in a metadata column such as category or department, and a sensitivity label. Each rule sets the review interval, the default reviewer and backup, and the approval stages.

  • Match by library, content type, column value or sensitivity label
  • First match wins; a default rule catches the rest
  • Interval, reviewer, backup and approvals per rule
The Rules tab: ordered rules for HR policies (12 months, two approval stages), contracts (6 months, one stage), confidential files (90 days) and a default rule (12 months).

Feature 8 of 10

Review and approval stages

A rule can require 1, 2 or 3 approval stages, each with a named approver. A decision waits as awaiting approval until every stage has approved; a rejection returns the file to its reviewer with the approver's comment. Every action lands as a row in ExpiryPoint's lists, so your own Power Automate flows can pick it up.

  • 1 to 3 stages, each with a named approver
  • Awaiting approval until every stage agrees
  • Every step available to your own flows

Feature 9 of 10

Compliance reports and analytics

The Reports tab shows the completion rate (reviews done on or before their date), what is overdue now, a 12-month trend of reviews and on-time rate, and results by department, library and owner. Export to Excel (.xlsx) or CSV. With the decision log, it helps evidence periodic review, for example the policy reviews ISO 27001 Annex A 5.1 asks for.

  • Completion rate and overdue now
  • A 12-month trend of reviews and on-time rate
  • By department, library and owner
The Reports tab: a 91% completion rate, 7 overdue now, 343 reviews in 12 months, a monthly trend of reviews and on-time rate, and completion by department.

Feature 10 of 10

Multi-site and multi-library

ExpiryPoint covers every document library on a site, or the ones you choose. A site owner can add other sites to monitor, and the dashboard, My reviews and reports then combine them. Every read and every action runs with the signed-in person's own SharePoint permissions, so people only see and change what they already can.

  • All libraries, or a chosen set
  • Several sites in one dashboard
  • Each person sees only what they already can

Built the same way throughout

Inside your tenant, as you, and honest about its limits.

  • Reviewing never changes a document. Decisions live in ExpiryPoint's own hidden lists on your site.
  • No admin consent needed. It works through SharePoint with each person's own permissions; one optional permission switches on email.
  • Email from your own mailbox. Reminders go through Microsoft Graph from the sender's mailbox; nothing goes through Apps 365.
  • Evidence, not a certificate. It helps evidence periodic review; it does not make anyone compliant.
